VICTORY VAN RENTALS POLICIES


  • Deposit Policy

    All rentals with Victory Van Rentals necessitate a 50% deposit, calculated based on the total rental cost, to secure your booking. The remaining 50% will be charged to the card on file on your scheduled pick-up date. Please refer to our Cancellation Policy for details regarding refunds and cancellations.

  • Discount Policy

    We are proud to offer a 5% discount to military personnel and first responders as a token of gratitude for their service. To avail of this discount, kindly provide proof of service, which may include:


    Volunteer or employee ID card

    Pay stub issued within the last 60 days

    Signed affidavit from a first responder agency

    Pension certificate

    EMS/EMT Certification

    For extended rental periods of two weeks or more, we extend a 10% discount to our valued customers.

  • Weekday and Weekend Rental Policies

    At Victory Van Rentals, we define a one-day rental as a 24-hour period from pick-up to drop-off.


    During weekdays (Monday to Thursday), one-day rentals are available. However, on weekends (Friday to Sunday), we require a minimum rental period of two days. While our online booking system may permit you to request a one-day rental on weekends (Fri, Sat, Sun), please note that these orders will not be approved.


    Should you choose to proceed with booking a one-day rental on a weekend, you will have the option to pay the weekend rate and secure your rental. It's important to note that rentals are not officially confirmed until they are approved by an administrator. Approvals are processed in the order they are received.


    Upon approval, your card on file will be charged the 25% deposit as per our deposit policy mentioned above. Subsequently, you will receive a confirmation email detailing your booking and payment information.

  • Mileage Overage Policy

    At Victory Van Rentals, each day of rental includes 150 miles cumulatively. However, if you surpass the included mileage, there will be a charge of $0.33 per mile for the excess mileage.


    Here's an example to illustrate:


    3-Day rental includes 450 miles

    Actual mileage used: 550 miles

    Calculation:

    550 miles - 450 miles = 100-mile overage


    100 miles x $0.33 = $33.00 overage charge


    We want to clarify that this charge is not intended as a punishment but rather enables us to provide quality, clean, and reliable vehicles at competitive rates. It also ensures fairness among renters. Charging the same rate for vastly different distances, such as a weekend trip to Gatlinburg, TN (220 miles round trip) versus a weekend trip to Orlando, FL (1300 miles round trip), would be inequitable.


    By not offering unlimited miles, we can maintain affordability and provide well-maintained vehicles. Additionally, all renters pay for the mileage they actually use.   • After Hours Return Policy

    PLEASE MAKE SURE VAN IS FULL OF GAS


    Parking Instructions for All Returns

     

    Upon returning the vehicle, please park along the outside of the parking lot as to not block entry to the back of the building as another business operates from the rear of the building.  



       

    Late Return Charge

    The amount charged for the rental will be based on your original booking return time unless VVR has otherwise approved a later return time.  After hours return is offered as a convenience and is not mandatory.  


  • Driver's License Information Policy

    For customers residing in the U.S., Victory Van Rentals requires the presentation of a valid, unexpired government-issued Driver’s license with a customer's photograph. Digital licenses are not accepted. When booking online, customers must upload a clear photo of a real Driver's license, correctly oriented (not sideways). The driver's license must remain valid throughout the entire rental period.


    However, members of the United States Armed Forces on active duty may present an expired home state license under specific conditions:


    They must also present an Active Military ID.

    They must be compliant with their state's military extension policy regarding the issued license. State policies vary, and customers are advised to consult the appropriate department of motor vehicles for details.

    For customers traveling to the U.S. from other countries, it's essential to check with the respective Department of Motor Vehicles in the states or provinces they intend to visit to ensure compliance with local licensing laws. The following guidelines apply to ensure the presentation of a valid license:


    Customers must present their valid, unexpired home country driver’s license with a photograph.

    If the home country license is in a language other than English but uses English letters (e.g., German, Spanish), an International Driver’s Permit is recommended but not required.

    If the home country license is in a language other than English and doesn't use English letters (e.g., Russian, Japanese), an International Driver’s Permit is mandatory.

    If obtaining an International Driver’s Permit is not feasible in the home country, another professionally translated document may be substituted, but the home country license must still be presented.

    Renting a vehicle solely with an International Driver’s Permit is not permissible, as it serves only as a translation of the home country license and is not considered a valid form of identification.

    Additional Requirements:


    "Learner’s Permits" are not accepted.

    Any license that restricts the licensee to operating a vehicle equipped with a breathalyzer apparatus is not accepted.

    Temporary Driver’s Licenses may be declined if Victory Van Rentals cannot verify the customer's identity or the authenticity of the temporary license. In such cases, additional government-issued identification may be required.

  • Age Requirement Policy

    1. Age Requirement: All renters and additional drivers must be 21 years of age or older.


    2.Driver's License and Payment Card: Renters must possess a valid driver’s license and a major credit card or debit card in their name. Only one payment card is required to be on file, even if multiple drivers are involved.


    3.Permit Restrictions: Individuals with learners’ or instructional permits are not eligible to rent vehicles.

  • Forms of Payment Policy

    Here are the accepted forms of payment for rentals at Victory Van Rentals:

    Debit Card: A debit card is accepted, but it requires a $500 security deposit which will be returned after the rental period.


    Cash: Cash payments are accepted, but they also require a $500 security deposit which will be returned after the rental period.


    Check: Checks are accepted if you have an account with Victory Van Rentals.

  • Refueling Policy

    At Victory Van Rentals, all rental vehicles are provided with a full tank of gas. Upon returning the vehicle, customers have the option to choose how they would like to handle fuel charges:


    Option 1 - We Refill:

    Customers can opt to pay Victory Van Rentals for the gas used but not replaced at the end of the rental period. The price will be the cost to refill plus a $20.00 service charge, which will be charged to the card on file.


    Option 2 - You Refill:

    Customers can choose to refill the vehicle themselves before returning it to avoid extra fuel charges. The vehicle must be returned with the same amount of gas as received, with the fuel level reading full. If the vehicle is returned "almost full," it will be filled, and the customer will be charged accordingly. This policy ensures fairness to all customers, as everyone pays for the gas they use. Victory Van Rentals recommends filling up close to their office, with Shell and Sunoco gas stations conveniently located just 1/4 mile away.

  • Toll Policy

    At Victory Van Rentals, we want to inform our customers about tolling policies:


    With many toll plazas transitioning to all-electronic tolling, travelers may not have the option to stop and pay cash at toll plazas. If Victory Van Rentals receives a toll invoice dated for the period you were in possession of the vehicle, you will be responsible for paying the toll. The credit card you provided will be charged accordingly.


    Even if you paid cash at the toll and we receive a bill, we cannot prove your cash payment, and we remain responsible for settling the toll. Therefore, we recommend that you refrain from paying cash at tolls. Instead, allow the toll bill to come to us, and we will charge the card on file.


    In the event of double charging due to a cash payment and subsequent bill, it will be your responsibility to dispute the charges with toll enforcement. We have encountered numerous disputes with tolls and understand the complexities involved.


    We advise you to follow our recommendation to avoid unnecessary disputes and complexities. Thank you for your understanding and cooperation.

  • Complimentary Customer Parking Policy

    At Victory Van Rentals (VVR), we offer the convenience of allowing customers to leave their vehicles on our lot during their rental period. However, please note the following:


    VVR is not responsible for any damages or vandalism that may occur to your vehicle while it is parked on our premises. Although we maintain surveillance to enhance security, we cannot guarantee the safety of your vehicle.


    In the unfortunate event of damages or vandalism, we are committed to assisting you in seeking restitution from the responsible party. Additionally, we will promptly notify the police if vandalism or theft is suspected or observed.

  • Cancellation Policy


    At Victory Van Rentals (VVR), we have a cancellation policy designed to ensure fairness and proper utilization of our rental vehicles:


    Cancellation Deadline: To receive a full refund, cancellations must be made at least sixty (60) days before your reserved pick-up date. Cancellations made after this deadline will forfeit the deposit.


    Reasoning Behind Policy: This policy allows us to make the vehicle available to the public once again with sufficient time to rent it out for the dates you previously reserved. Once a vehicle is booked, it becomes unavailable to others for the specified dates. At VVR, we do not double book or give away your rental, regardless of its value. Our website displays live inventory, ensuring transparency regarding available vehicles.


    Commitment to Customers: We take your reservations seriously, whether it's for a vacation, business trip, church outing, or any other purpose. Unlike standard rental services that may cancel reservations last minute due to inability to fulfill them, we prioritize reliability and integrity in our operations.


    Late Cancellations or Shortened Rental Periods: If you cancel on the day of your pick-up, you will be charged the remainder of the amount. However, if the vehicle is re-rented, you will be refunded accordingly. The same applies in the event of a late cancellation or shortened rental period – every effort will be made to re-rent the vehicle, and refunds will be issued based on the re-rental period.

  • Seat Removal Policy

    At Victory Van Rentals, we understand that sometimes you may require additional cargo space. We are pleased to offer the option to remove seats for your cargo needs.


    For most rentals, seat removal is done free of charge. However, for rentals less than 3 days where you require all seats to be removed, there will be a $50.00 charge.


    Please feel free to reach out to us with any questions or concerns you may have regarding seat removal or any other aspect of your rental experience. We are here to assist you in any way we can. 

  • Cross Border Policy

    Currently, all rentals with Victory Van Rentals are limited to travel within the contiguous United States, also known as the lower 48 states. Special permissions for travel outside of these areas must be granted by the owner.

  • Renter Collision Protection

    Victory Van Rentals offers Renters Collision Protection (RCP) for $25.00 per day. This protection is available at the time of rental for an additional daily charge. If the renter chooses to purchase RCP, Victory Van Rentals will waive or reduce the renter's responsibility (depending on the value of the vehicle rented) for loss of or damage to the rental vehicle. This coverage includes towing, storage, loss of use, administrative fees, and diminished value, subject to the terms and conditions of the rental agreement and applicable laws.


    It's important to note that RCP is not full coverage insurance. If the renter does not have full coverage auto insurance, they will be required to purchase RCP. However, if the renter already has full coverage auto insurance, the purchase of RCP is optional and not required to rent a vehicle. The protection provided by RCP may duplicate or supplement the renter's existing auto insurance coverage.


    RCP is a separate policy, and in the event of damage exceeding $250.00 (deductible) but not exceeding $20,000.00, it can be used without notifying the renter's current insurance provider. Victory Van Rentals does not have the authority to assess the adequacy of the renter's existing coverage. Therefore, the renter should review their credit card protections, automobile insurance policies, or other sources of coverage that may duplicate the protection provided by RCP.


    By signing the rental agreement contract or clicking "I accept Rental Policies" online, the renter acknowledges that they have read Victory Van Rentals' policies, checked their insurance coverage and protection, and made any necessary changes before picking up their rental.


    Additionally, when renting a 15 Passenger Van, it is important to specify this with your insurance provider to ensure adequate coverage. Most policies cover 15 Passenger Vans, but it's recommended to confirm with your insurance provider.

  • Additional Driver Policy

    When renters use their personal full coverage insurance policy, all individuals listed on the renter's insurance policy who meet the age and driver’s license requirements of Victory Van Rentals are authorized drivers at no additional charge. However, it is the renter's responsibility to verify with their insurance agent that they and all authorized drivers are covered.


    For renters intending to use a 15 Passenger van, it's crucial to specify this with their insurance provider. Some insurance policies may not cover 15 Passenger vans. If unsure, renters should seek verification from their insurance agent and request an email confirmation of coverage.


    At the moment, Farm Bureau insurance does not cover 15 Passenger vans, to the best of our knowledge. Renters are advised to confirm this with their agent and obtain verification.


    In case renters opt to purchase Renter’s Collision Protection from Victory Van Rentals, two drivers are included at no additional charge with each policy purchased. If renting multiple vehicles, each vehicle will have its own policy. Additional drivers can be added for $10.00 per day. All drivers must provide a valid driver’s license, adhering to the Driver’s License requirements outlined below.

  • Roadside Assistance Protection

    Renter may purchase Roadside Assistance Protection (RAP) from Victory Van Rentals for an additional fee of $5.00 per day. If Renter purchases RAP, Victory Van Rentals agrees, subject to the actions that invalidate Damage Waiver, to contractually waive Renter’s responsibility for the cost to provide 24/7 roadside assistance which includes:


    TOWING

    When towing is necessary, the covered vehicle will be towed to the nearest repair facility up to twenty-five (25) miles from the disablement site.*


    FLAT TIRE ASSISTANCE

    We will remove the covered vehicle’s flat tire and install its replacement with the spare tire located with the covered vehicle. Towing assistance will be provided, if necessary.


    DEAD BATTERY ASSISTANCE

    A jump start will be provided to start your vehicle. In the event a battery is needed, one will be delivered to your location.*


    FUEL, OIL, FLUID & WATER DELIVERY

    An emergency supply of fuel, oil, fluid and water will be delivered if the Covered Vehicle is in immediate need.


    LOCK-OUT ASSISTANCE

    If your keys are locked inside your covered vehicle, we will provide assistance to gain entry into your vehicle.*


    HOTEL & TRAVEL DISCOUNTS

    Members receive savings for hotels, car rentals, theme parks, prescriptions, and much more.*

    If Renter does not purchase RAP, or RAP is invalidated as set forth above, roadside assistance will be available, but standard charges will apply. RAP does not apply in Mexico. For roadside assistance call the number provided at pickup. Many of our vehicles are covered by factory warranties through the manufacturer (Ford, FCA, Honda) once this coverage expires all vehicles are covered by Encore 24/7 Roadside Assistance. In the event it is not purchased before the rental it can be added at an additional $50.00 charge. 


  • Renter Requirements

    AGE 

    All renters must be 21 or older to rent and drive a vehicle from Victory Van Rental at this time. This is restricted due to our current insurance provider. All renters must have a valid driver’s license and a major credit card or debit card in their name. 


    INSURANCE VERIFICATION 

    At the time of rental, Renter must provide evidence of a transferable auto collision, comprehensive (full coverage) and liability policy for the following vehicle classes: 15 Passenger Van and Executive Luxury SUV. If you do not have full coverage insurance you can change your policy and confirm (via email) that you would be covered on the vehicle you wish to rent, or you can rent Budget Category vehicles by purchasing RCP. Renters Collision Protection is available for all rentals vehicles.  (see above section on RCP)


    FORMS OF PAYMENT POLICY

    The Estimated Total for the rental on the online booking checkout screen and/or in the email reservation confirmation will be charged to the form of payment provided by Renter.  If the rental as reserved is modified, the estimated total amount for the rental may change and would still be charged to the form of payment provided by Renter. 

    At the time of the rental or booking, the Renter will sign a rental contract (the “Contract”) which applies to the rental and includes a Rental Agreement Summary and the Additional Terms and Conditions. If done online a click on “I accept Rental Policies” is required that is the same as signing It is the renters responsibility to read the terms and conditions of the rental that they are consenting to.  


    ADDITIONAL INFORMATION

    Renter must use an above listed form of payment for the deposit amount. The hold amount will not be available for use by Renter and/or refunded to Renter until after the vehicle has been returned. 

    If Renter incurs additional amounts owed under the Contract, those additional amounts may be deducted from Renter’s deposit amount, if applicable.  If those additional amounts are not deducted from the deposit amount, if applicable, they will be charged to the form of payment provided by Renter at the time of rental unless Renter provides a different above listed form of payment to be charged. 

    If using a debit card for any of the above amounts, the available funds in the account associated with Renter’s debit card will be reduced by those amounts.  Additionally, Renter is responsible for any overdraft fees incurred. 

    Money orders and prepaid cards are not acceptable forms of payment at the time of rental, including for the deposit amount, but may be used to pay any amounts due at the end of the rental after the vehicle has been returned.  Cash is not accepted. 

    In addition to one of the above listed forms of payment, credit cards with sufficient available credit which are listed on Renter's Profile or Loyalty Account (Emerald Club, E Club, etc.) will be accepted as payment for all amounts owed under the Contract. 

    All amounts owed by Renter under the Contract will be submitted (a) as an authorization to be a hold against and ultimately charged to Renter’s credit card or debit card, or (b) to be charged to Renter’s debit card. 

    Please read the Renter Requirements policy (see above) for additional details pertaining to the use of debit cards and general rental requirements at this location.

     

    Debt Card  

    Debit cards are accepted at time of rental under the following conditions:  


    The name and address shown on the renter’s driver’s license must match their current home address. If renter has recently moved and does not yet have license changed to match they must also present two of the following items: cellular phone bill, paycheck or pay stub, or original declaration page from an active auto insurance policy.  Utility bill(s), cellular phone bill(s) and paycheck or pay stub must be originals and dated within 30 days and, each must indicate the renter’s current home address.   


    Active duty military personnel are exempt from address requirements. 


    A $500.00 deposit is required and can be charged to the card or you can leave a $500.00 cash deposit at pick-up. This is enough for us to cover our Insurance deductible in the event you return the vehicle damaged and are unable to pay your deductible. After returning the vehicle in the condition it was received your deposit will be refunded the following business day after VVR has had time to clean and evaluate the vehicle. If your bank is slow to process refunds please use cash (it is instant), You can pick up your cash at our office (please call ahead to schedule a pick-up time). 

     

    If using a debit card for any amounts owed, the available funds in the account associated with Renter’s debit card will be reduced by those amounts.  Additionally, Renter is responsible for any overdraft fees incurred. 

    Please read the Forms of Payment policy (see below) for additional details pertaining to the use of debit cards at this location. 

  • ADDITIONAL TERMS AND CONDITIONS FOR ONLINE BOOKING AND RENTAL EXTENSIONS

    Renter agrees by Renter’s signature on the rental agreement contract if in person or by clicking the “I Accept” button via online booking that Renter has read, is aware of, accepts full responsibility for and is bound by the terms and conditions contained in the Summary and these Additional Terms and Conditions (collectively the “Contract”), for the Rental Period. 


    In the event that Victory Van Rentals (VVR) assigns a new vehicle (whether by necessity or request) or extends an existing rental agreement (by request of renter) during or following a previously agreed upon Rental Period, and though subsequent agreements are not signed or digitally acknowledged by Renter, the Renter acknowledges here and agrees that the terms and conditions in the initial Contract will govern for the new vehicle and/or extend rental period ending when Renter has returned vehicle from subsequent rental agreement. 


    Renter agrees that electronic signatures have the same force and effect as manual signatures. Renter expressly acknowledges that Renter and VVR are the only parties to the Contract, notwithstanding that a reservation for Vehicle may have been arranged by a third party; that a third party may pay for all or part of the rental bill; and/or that a third party may negotiate certain terms of the rental, including but not limited to the type of Vehicle, length of rental, rental rate and/or selection of optional products. For matters arising from the agreement, Renter authorizes VVR to verify and/or obtain through credit agencies or other sources Renter’s personal, credit and/or insurance information. This Contract is the entire agreement between Renter and VVR and cannot be altered by another document or oral agreement unless agreed to in writing and signed by Renter and VVR’s owner.
